Who to contact
Roll Circle is the brand and legal name used for this website, rollcircle.club. Our contact address is 4 Grey Street, Wellington Central, Wellington 6011, New Zealand. For questions, email [email protected] or call +64 4 257 8613.
Please address privacy enquiries to the hotel team and ask for the person responsible for privacy. We will use the contact details you provide to discuss your request.
Information you choose to provide
Enquiries may include your name, email address, phone number, preferred dates, guest numbers, room preference, enquiry type and message. A real booking or service arrangement may require further details, which should be discussed directly with reception. Please provide only information needed for your request.
The form on this version is a demonstration: entries are validated in your browser and are not transmitted to the hotel or an external service. Form contents are not saved in browser storage. The confirmation screen confirms the demonstration only. Email and telephone links let you contact reception using your own communication service.
Why information is used
Information received through a real email or phone enquiry is used to understand the request, communicate about suitable hotel services and discuss arrangements. Relevant booking or contact records may also be needed to manage confirmed services, address a concern and meet applicable legal obligations.
Personal information should be collected for a lawful purpose connected to the service, limited to what is reasonably needed, and used in a way consistent with that purpose. Marketing permission is separate from an ordinary enquiry; this demonstration does not subscribe you to marketing.
Storage and retention
Enquiry details remain in the browser only while you complete the demonstration. The site stores your cookie preference locally so the same choice can be respected on later visits. The site does not store submitted enquiry contents in localStorage or sessionStorage.
The website host may process technical connection information, such as an IP address and request logs, as part of providing the site. The hosting provider and its retention arrangements should be confirmed before public launch. For real hotel contact records, access should be limited to people who need it and records retained only as long as the service or a lawful purpose requires. Ask reception about the retention applicable to your record.
Sharing and overseas processing
Where a real service needs a provider, relevant information may need to be shared to arrange that service, respond to your request or meet a legal obligation. Confirm any proposed transfer, dining or event arrangements with reception before providing information about other people.
If information is disclosed to a recipient outside New Zealand, the safeguards required by the Privacy Act 2020 should be assessed, including whether the recipient provides comparable protection or another permitted basis applies. No external form processor, analytics tool or advertising tag is connected in this version.
Cookies and Google services
Necessary local storage remembers your consent choices. Optional analytics and marketing categories begin off. The Consent Mode v2 implementation sets ad_storage, analytics_storage, ad_user_data and ad_personalization to denied before a choice, then updates those states to reflect your preferences.
Google Analytics, Google Ads and Google Tag Manager are not loaded. Integration locations are reserved in the code for a future reviewed setup. If optional services are connected later, they must respect the categories you choose and this policy must describe the actual providers and processing.
How Google uses data from sites or apps that use Google services and Google business privacy information explain Google’s processing when those services are used.
You can change or withdraw optional consent using . See the Cookie Policy for details.
Access, correction and concerns
Under New Zealand privacy principles, you can ask to access personal information an organisation holds about you and request correction where appropriate. Contact the hotel team with enough detail to identify the relevant record. Identity may need to be verified in a proportionate way before information is released.
If a concern is not resolved with the team, you may seek guidance from the New Zealand Office of the Privacy Commissioner. For indirect collection or other practices introduced after launch, relevant notification and transparency obligations must also be assessed.
Review of this policy
This document should be reviewed by a New Zealand legal professional and updated to reflect the actual operating, hosting, provider and retention arrangements before public launch. Changes to processing should be reflected here before the new processing begins.
